Acumatica doesn't charge per user. You pay for the applications you run and the transaction tier you need. Here's how the licensing works, what drives the number, and every cost you should budget for, in plain language.

Many ERP systems charge for each named user. Add a warehouse lead, a sales rep or a new store manager, and the bill goes up. That model pushes companies to share logins or keep people out of the system.
Acumatica works differently. According to Acumatica's pricing page, every subscription includes unlimited users. Instead of counting people, Acumatica prices your subscription on two things:
For growing manufacturers and distributors, this changes the long-term math. Giving the whole team access doesn't automatically raise the subscription. Growth in transactions does, which tends to track growth in the business itself.
Acumatica packages its applications into industry editions (Distribution, Retail, Manufacturing, Construction, Professional Services and General Business), offered at product levels from Essentials and Select up to Prime and Enterprise. Each edition starts with core financials and adds the applications that industry usually needs.
From there, you license additional Acumatica applications only if your processes call for them. Common examples:
These are Acumatica applications and modules, part of the same system and the same database. That's different from third-party software built by independent vendors, which we cover in the budgeting section.
The practical takeaway: two companies of the same size can license very different packages. A distributor with three warehouses and heavy order volume needs a different mix than a manufacturer running lot-tracked production. That's why a published price list wouldn't help you budget.
Acumatica is a cloud application delivered as software as a service. Your team signs in from a browser, at the office, in the warehouse or on the road, with access from anywhere. Updates are included, so you get new features without a separate upgrade project.
The subscription is only one line in the budget. Plan for these as well.
Setting Acumatica up for how your business runs: configuration, data migration, integrations, any custom workflows and training. Four things drive it more than company size does:
You'll want a partner who answers when something changes, a user leaves, or a new integration is needed. Budget for ongoing support from day one. CyberCore always supports the latest publicly released Acumatica version, so you're never stuck on an old release.
Acumatica's Licensing Guide (April 2026) caps subscription renewal increases at 10% a year, as long as you stay compliant with your subscription agreement and don't reduce your edition, transaction tier or users. The cap doesn't cover services, support or Marketplace products, and discounts on your order form don't carry over to renewals. Ask about all of this up front so year two holds no surprises.
Some needs are best met by software from independent vendors (ISVs) that connects to Acumatica, for example e-signature, advanced shipping or specialized tax tools. These carry their own licenses, separate from your Acumatica subscription. A DocuSign integration, for instance, requires your own DocuSign account.
New applications, new locations, new integrations or a higher transaction tier as volume grows. You can add features to your license at any time, but you can only remove them at renewal. Plan for them in your multi-year budget. Our ERP budget planning guide for 2027 walks through how to build that budget line by line.
A pricing conversation is easier when you've seen the system working on your own data. CyberCore offers a 30-day pilot: $3,750 for 30 days. It covers initial setup, a pilot environment in our Lab and the pilot build for 30 days, including weekly working sessions and a solution brief. We build the core of your solution on your real data and demonstrate it in supervised weekly sessions, and your team can try it with us there.
The $3,750 is credited if you sign an implementation agreement within 14 days after your pilot term ends (30 days, or the approved extension). The credit applies once, to implementation fees only. It does not apply to licenses or support, and it is not refundable as cash. The pilot fee is non-refundable once work begins.
Not included: Acumatica licenses. Some integrations need your own third-party licenses or accounts; for example, a DocuSign integration requires your own DocuSign account. Taxes are extra if applicable.
Pricing subject to a signed pilot agreement; scope confirmed on your strategy call and in your pilot agreement. See how the 30-day pilot works.
CyberCore helps companies automate their business with the latest tools: Acumatica, our AI-Voice Employee, EDI integrations and more.

It depends on the applications you license, your transaction tier and the implementation work your records, integrations, workflows and data need. Company size alone doesn't predict it. The reliable way to know is a scoped plan built around how you work.
No. According to Acumatica's pricing page, subscriptions include unlimited users. Pricing is based on the applications you license and your transaction tier.
Implementation, support after go-live, renewals, any third-party ISV add-ons with their own licenses, and growth such as new applications, integrations or a higher transaction tier. Features can be added at any time but only removed at renewal.
